Job Description

Position Summary :
The Office Manager is the administrative backbone of McCurdy Ministries Community Center — the person who keeps the organization's operational and compliance infrastructure running reliably so that program staff and leadership can focus on mission. This is a campus-based, on-site role. It requires daily physical presence, a consistent and welcoming front-office presence, and deep ownership of the systems, records, contracts, and compliance obligations that govern how McCurdy Ministries operates. This role combines three functions that McCurdy Ministries currently handles through separate contractors and informal workarounds: front-office and administrative management; contracts, compliance, and regulatory documentation; and HR administration. The right person for this role is process-minded and people-oriented in equal measure — someone who notices what is missing before it becomes a problem, who builds trust with staff and campus partners through consistent follow-through, and who understands that in an organization this size, administrative excellence is a form of mission fidelity. This role is on-site, full-schedule. It is not eligible for remote work except by exception and with supervisor approval. McCurdy's campus is a living community hub — contracts are executed here, compliance documentation is maintained here, partners and donors walk through these doors, and the administrative function must be present and visible alongside the people and work it supports.

30 hours per week, non-exempt
Location :
On-site at McCurdy Ministries Community Center, Española, NM. This is a campus-based role. Remote work is not the norm and requires supervisor approval.
Schedule :
Flexible within Monday-Friday business hours; some additional hours may be required for board meetings, funder visits, or events.
Supervision :
Reports to Executive Director; works in close coordination with Business Office Executive Staff.
Compensation :
Commensurate with experience and consistent with McCurdy Ministries' compensation structure.
Core Responsibility Areas :
Front Office & Administrative Management (25%) : Primary campus presence; reception and visitor management; phones and correspondence; staff support and office systems; calendar coordination for ED and DBO. Manage front-office operations, phones, visitors, mail, scheduling, and supplies. Provide administrative support to executive leadership and staff. Maintain organized digital and physical records. Contracts & Agreement Administration (25%) : Master contract registry; MOU and lease tracking; contract routing, execution, and filing; campus partner agreement compliance monitoring. Track contracts, leases, MOUs, renewals, and required actions. Maintain compliance calendars, staff credentials, training, and required filings. Compliance Tracking & Documentation (15%) : Organization-wide compliance calendar; background check tracking; staff licensure and certification monitoring; CYFD notification obligations; audit and site-visit documentation preparation. Prepare documentation for audits, monitoring, and regulatory reviews. Maintain policy and records-retention systems HR Administration (20%) : Personnel files and onboarding logistics; benefits enrollment coordination; timesheet and Paylocity administration; staff compliance tracking; offboarding documentation. Maintain confidential personnel records and organizational directories. Coordinate onboarding, offboarding, benefits, and Paylocity administration. Track staff compliance, training, licenses, and performance reviews. Financial Administration Support (10%) : AP processing support; vendor files and W-9 documentation; grant invoice backup compilation; credit card reconciliation support; policy document library maintenance. QuickBooks, invoices, reconciliations, and grant billing. Maintain vendor, W-9, and financial documentation. Assist with budget and financial reporting. Vendor & Insurance Management (5%) : Vendor and insurance contact lists; renewal calendars; certificate of insurance coordination; annual insurance renewal support. Maintain vendor and insurance records and renewal calendars. Coordinate vendor onboarding, insurance certificates, and routine communications.
