In this pivotal role, you will coordinate scheduling, manage vendor relationships, assist with marketing/sales, ensure compliance, and communicate with clients. Your proactive approach will help streamline processes, enhance customer service, and maintain a productive work environment. Duties Manage all office operations including scheduling appointments, coordinating project timelines, and maintaining calendars for the roofing team. Oversee vendor management by establishing and nurturing relationships with suppliers, subcontractors, and service providers. Handle client communication with professionalism, ensuring inquiries are addressed promptly and accurately.. Maintain accurate bookkeeping records using accounting software such as QuickBooks; perform invoicing, billing, and payroll processing. Organize and manage documentation including filing systems, contracts, permits, and project files with attention to confidentiality. Assist with obtaining and managing permits. Help prepare proposals and order roofing reports for clients. Order marketing materials and assist Coordinate office supplies procurement and ensure efficient use of office resources. Implement office policies related to communication standards, phone etiquette, multi-line phone systems, and organizational procedures. Requirements Proven experience in office management within the construction or roofing industry is preferred; strong clerical experience is essential. Demonstrated supervising experience with the ability to lead a team effectively. Proficiency in QuickBooks or similar financial software; solid understanding of bookkeeping, accounting practices, and payroll processing. Excellent organizational skills with the ability to manage schedules efficiently using calendar management tools. Strong communication skills—both verbal and written—and exceptional customer service abilities. Technical proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using spreadsheets for data analysis. Knowledge of human resources functions including training & development and handling confidential information responsibly. Experience with vendor management, office software systems, filing procedures, and multi-line phone systems is highly desirable.
