Duties Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Oversee calendar management and scheduling for meetings, appointments, and events using productivity software and calendar tools Maintain accurate records through data entry, filing, and document proofreading to ensure organizational integrity Handle correspondence via email, word processing, and spreadsheets, ensuring timely responses and follow-up actions Support office management tasks such as supply inventory, equipment maintenance, and facility organization Assist with client communication and customer support to foster positive relationships and resolve inquiries efficiently Utilize computer skills including Microsoft Office suite (Word, Excel, Outlook) and QuickBooks for financial tracking and administrative reporting Requirements Proven experience in office management or administrative roles with at least one year of clerical experience Strong computer literacy with proficiency in Microsoft Office applications, spreadsheets, data entry, and productivity software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional phone etiquette skills with experience managing multi-line phone systems and providing customer service Bilingual abilities are a plus to support diverse client needs and enhance communication efforts Familiarity with QuickBooks or similar accounting software is preferred for handling basic financial tasks Demonstrated ability to handle confidential information discreetly while maintaining accuracy in documentation Personal assistant or front desk experience is highly desirable to support daily operations efficiently Join us as an Office Administrator and become an essential part of a team that values energy, efficiency, and excellence.
