Job Description
Position Overview We are seeking an organized, detail-oriented, and friendly Administrative Support Specialist to join our team. As the first point of contact for our company, you will play a crucial role in maintaining smooth daily operations, ensuring our customers receive top-tier service, and keeping our business owners organized. The ideal candidate is a master multitasker who can seamlessly shift from answering client inquiries to managing schedules and processing orders and reports with high accuracy. Key Responsibilities Front-Line Communication
- Answer and direct incoming phone calls with a professional and welcoming demeaner.
- Filter inquiries, take accurate messages, and route calls to the appropriate team members.
- Provide basic information about products, services, and order statuses to clients.
- Contacting schools Order Entry & Shipping
- Accurately enter customer orders into our internal ERP database system.
- Verify order details, pricing, and shipping information to minimize errors.
- Ship out orders Email & Correspondence
- Manage and respond to the general company inbox and support emails in a timely manner.
- Draft clear, professional, and grammatically correct correspondence to clients and vendors. Executive Scheduling & Support
- Manage the calendars and schedules for the business owners.
- Coordinate, schedule, and confirm appointments, client meetings, and internal reviews.
- Remind owners of upcoming commitments and help protect their time from unnecessary interruptions.
Physical Requirements Please Note:
This position requires a mix of desk work and physical labor.- Must be able to frequently lift and move boxes weighing up to 40-50 lbs .
- Ability to stand, walk, bend, kneel, and reach overhead for extended periods while processing inventory. Qualifications & Skills
