Job Description
Job Overview We are seeking a detail-oriented and highly organized Office Manager/Bookkeeper with 3 or more years of experience to oversee daily administrative operations and manage financial records. This role requires strong communication skills, technical proficiency, and experience with office software. Must be able to multitask, prioritize tasks, handle occasional high volume of calls and in-person customers. The ideal candidate will be responsible for customer billing and payments, submitting payments and keeping track of incoming invoice and payments to various contractors, vendors, suppliers, maintain client and phone communication, maintaining accurate financial records, and supporting office functions to ensure smooth operations. Experience working within water departments, districts, or MUDs, as well as familiarity with TCEQ and other governmental entities, is preferred. This job can be fast pace at times, with many tasks having deadlines to meet, and requiring precision in the reports/correspondence. Responsibilities include but are not limited to the following: Manage client communications to ensure timely and professional interactions. Handle phone communications, scheduling, and general inquiries efficiently. Perform word processing tasks, including drafting correspondence and reports. Maintain and update spreadsheets for financial tracking, budgeting, and reporting purposes. Utilize productivity software such as Microsoft Office Suite to support daily office functions. Demonstrate technical proficiency and computer literacy to troubleshoot basic issues and optimize workflow. Oversee financial recordkeeping, including invoicing, accounts payable/receivable, and bank reconciliations. Support office administration tasks such as filing, data entry, and document management. Collaborate with team members to ensure compliance with relevant regulations and standards, especially related to water departments or governmental agencies if applicable. Billing customers and accepting payments from customers. Preparing bank deposits and taking the deposits to the bank. Experience Minimum of 3 years in an Office Manager or Bookkeeping position Proven experience in office management or administrative roles with strong computer skills. Experience working with spreadsheets, word processing software, and other productivity tools. Prior experience working for a water department, district, or MUD is preferred. Familiarity with TCEQ regulations and interactions with governmental entities is a plus. Experience with RVS billing system is a plus. Excellent communication skills—both written and verbal—and the ability to handle multiple priorities efficiently.
