Job Description

Position Summary We are seeking an organized, detail-oriented Office Manager to handle day-to-day administrative operations and internal bookkeeping at our active CNC job shop . This role is the operational backbone of our office, ensuring that raw material invoicing, customer job orders, office workflows, and QuickBooks Online records are kept running accurately and efficiently.
Key Responsibilities CNC Job Shop Bookkeeping & QuickBooks Online Management Invoicing & Billing:
Generate and send precise customer invoices upon job completion; input vendor bills for material shipments (bar stock, tooling, hardware) and making vendor bill payments.
Payment Tracking:
Monitor accounts receivable, track customer days-to-pay, and manage collections professionally.
Bank Reconciliation:
Reconcile shop credit cards and bank statements monthly in QuickBooks Online.
Financial Oversight:
Clear and resolve transaction delivery issues or errors in QuickBooks; prepare basic Profit & Loss statements for management and CPA review.
Order Processing & Shop Administration Job Flow Support:
Coordinate with the shop floor or estimating team to keep customer purchase orders (POs), quotes, and internal job travelers filed and organized.
Shipping/Receiving Liaison:
Coordinate incoming material certifications (certs) and outgoing packing slips with logistics or shop leads.
Vendor & Utility Management:
Act as the primary contact for material suppliers, tool vendors, and facilities maintenance.
Office Supplies:
Keep the front office stocked with essential supplies and administrative tools.
Office Management & Administration Daily Operations:
Oversee general office activities, manage phones, greet visitors, and handle internal/external correspondence.
Supplies & Inventory:
Monitor and order office supplies, equipment, and kitchen necessities.
Vendor Coordination:
Serve as the primary point of contact for building maintenance, office equipment, and service vendors.
Filing Systems:
Maintain and organize secure digital and physical company filing systems.
HR & Payroll Coordination Time Tracking & Payroll:
Collect, review, and process hourly shop employee timecards for weekly payroll.
PTO & Benefits Support:
Manage employee vacation accruals, track carry-over hours according to company policy, and distribute policy reminders.
Onboarding:
Handle new-hire paperwork and safety protocol documentation files.
Qualifications & Skills Experience:
2-5 years of experience in office management, ideally within a manufacturing, machine shop, or industrial environment.
Software Mastery:
High proficiency in QuickBooks Online and Microsoft Excel.
Industry Knowledge:
Familiarity with manufacturing paperwork (POs, packing slips, material certs, and job travelers) is a major plus.

Ability to prioritize tasks independently in a dynamic, occasionally noisy shop-front setting. Attention to
