Summary CASA for Kids of East Texas is dedicated to making life changing differences for abused and neglected children. We are seeking a skilled and experienced Front Office/Office Administrator to join our team.
Position Overview:
The Office Administrator plays a key role in ensuring the smooth, efficient, and welcoming operation of CASA's office. This position serves as the first point of contact for visitors and callers, supports financial and administrative processes, and manages office and children's supply inventories. The Office Administrator helps create an organized, well-maintained, and mission-focused environment that supports staff, volunteers, and the children and families CASA serves. Key Responsibilities Front Office & Reception Greet visitors in a professional and welcoming manner Answer, screen, and route incoming phone calls appropriately Serve as a general point of contact for routine inquiries Manage the organization's "impact tree" showcasing stories of the organization's mission Office Operations & Facilities Manage and maintain common areas, including the office workroom and kitchen Coordinate equipment, maintenance, and facility vendors as needed Oversee incoming and outgoing mail, including distribution and mailing tasks Run occasional errands related to office operations Ensure facilities are clean, safe, stocked with necessary supplies, and welcoming. Organize and lead volunteer workdays for campus upkeep Oversee offsite document storage and coordinate document shredding Inventory & Supplies Manage office supply inventory and generate lists of needs Manage children's supply inventory, including: trackin incoming items, organize and physically manage inventory, record item distribution Conduct annual inventory of office equipment, furnishings, and facility-related assets Financial & Administrative Support Track accounts payable, prepare invoices for bookkeeper, and notify ED of any missing invoices. Reconcile organizational credit card statements Maintain organized filing systems Provide general administrative support as assigned Recruit and supervise non-advocate volunteers as needed. Assist with organizational initiatives including procuring donations, event set up and event facilitation Perform other administrative tasks including support for Community Engagement Department and Executive Director Qualifications and Competencies High school diploma or equivalent required; some college or technical training preferred. Minimum of three years office management or administrative experience required. Strong organizational and time-management skills with attention to detail. Experience managing vendors, contractors and service providers. Microsoft Office Suite proficiency. Strong interpersonal and communication skills; able to interact with a variety of stakeholders, including staff, volunteers, board members and the public. Basic understanding of facilities systems and general building upkeep. Ability to accurately maintain files and financial records. Ability to work independently with minimum direction. Reliable, resourceful, and solution-oriented. Professional and mature in representing the organization. Experience with nonprofits or service as a volunteer preferred.
