Job Description

Netgain Property Management is seeking a dependable, organized, and highly motivated Office Administrator to join our fast-paced property management office. This position is ideal for someone who thrives in a busy environment, enjoys working with people, and can confidently manage multiple priorities while providing exceptional customer service.
Primary Responsibilities:
Handle a high volume of incoming phone calls and provide professional, friendly, and helpful customer service. Work efficiently across multiple computer programs and property management platforms throughout the day. Manage and conduct showings of all available rental properties throughout the area, including scheduling appointments, maintaining showing software, monitoring availability, and ensuring property and showing information remains accurate and up to date. Meet with prospective tenants at available properties, answer questions about the property, explain the rental application and approval process, and provide the information needed to encourage qualified prospects to apply. Provide timely follow-up with prospective tenants and ensure a positive experience throughout the showing and application process. Manage student housing responsibilities, including preparing and sending leases, coordinating student move-ins and move-outs, addressing tenant questions and concerns, coordinating maintenance requests, and scheduling and conducting semester inspections. Maintain accurate records and ensure timely follow-up on outstanding tasks. Communicate effectively with tenants, prospective tenants, property owners, vendors, and team members. Perform additional administrative, operational, and property management duties as needed or assigned.
What We're Looking For:
The ideal candidate is organized, dependable, proactive, and comfortable working independently. This is a high-volume office where priorities can change quickly, so the ability to multitask, prioritize, and manage time effectively is essential. Exceptional follow-up, follow-through, customer service, and communication skills are key to success in this position. The right candidate will be able to work with minimal supervision, take ownership of their responsibilities, problem-solve when needed, and remain productive throughout the workday. Prior office, administrative, customer service, leasing, or property management experience is a plus, but we especially value someone who is reliable, teachable, detail-oriented, and willing to learn.
Position Requirements:
Reliable personal transportation is required, as this position involves regularly traveling to rental properties throughout the area for showings, inspections, and other property-related responsibilities. Ability to work independently and manage multiple priorities in a fast-paced environment. Strong computer skills and the ability to learn and work within multiple software programs.
