Office Manager-Home Care Key Elements Care, LLC - 5.0 Hampton, VA Job Details Part-time | Full-time From $20 an hour 6 hours ago Benefits Flexible schedule Qualifications Associate's degree Full Job Description Key Elements Care, LLC Job Summary Key Elements Care, LLC is seeking a dependable, organized, and experienced Office Manager to oversee the day-to-day operations of our home care office. The Office Manager plays an important role in supporting our clients, caregivers, and administrative operations. This position is responsible for multiple areas, including client intake, caregiver hiring and onboarding, scheduling, employee records, billing information, service coordination, and caregiver supervision. The ideal candidate is professional, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced home care environment. Key Responsibilities Answer incoming calls and assist with new client intakes Coordinate caregiver recruitment and hiring, including applications, interviews, background screenings, testing, and reference verification Conduct caregiver orientation and maintain accurate employee files Knowledge of Virginia Medicaid and MCO'S . Knowledge of Medicaid billing & authorizations submission Maintain employee records and required personnel documentation Coordinate caregiver schedules based on client needs, caregiver qualifications, and availability Maintain client, employee, payroll, billing, and related administrative information Assist with bookkeeping and general office accounting functions Visit prospective and current clients as needed Assist with initial and ongoing in-home client evaluations Coordinate caregiver introductions and client services Supervise caregivers and complete performance evaluations Assist with hiring and termination decisions Maintain accurate client visit records and required documentation Report changes in client conditions to appropriate agency personnel Assist with caregiver training as needed Participate in quality assurance reviews Maintain office supplies, forms, and equipment Follow established Key Elements Care, LLC policies and procedures Qualifications Previous office management, administrative, or supervisory experience Home care, home health, healthcare, or related industry experience preferred Experience with employee scheduling, client coordination, and record keeping preferred Working knowledge of billing, bookkeeping, and basic accounting practices Proficiency with Microsoft Office, Excel, scheduling software, and general computer systems Strong communication, organization, multitasking, and problem-solving skills Associates degree equivalent required; additional education preferred Valid driver's license and appropriate vehicle insurance Must successfully complete required background checks What We're Looking For We're looking for someone who can take ownership of daily office operations while providing excellent support to our clients, caregivers, and team. The right candidate will be able to manage changing schedules, communicate professionally, maintain accurate records, solve problems, and keep operations organized. Experience working in home care or healthcare is highly preferred
