Job Description

Caregivers Palliative Care is growing and we are looking for a Business Office Manager to join our team! At Caregivers Palliative Care, our mission is to enhance the quality of life of patients with serious or chronic illnesses by providing comprehensive symptom management, emotional support and advance care planning in the comfort of the home. This approach focuses on alleviating pain and distress, facilitates communication among patients, families and healthcare providers ensuring that care aligns with the patients' values and preferences. As a 501c organization, we strive to meet the growing needs of our community and are looking for colleagues who share in this vision. The ideal candidate has prior healthcare office management experience with strong preference given to candidates with experience with 501c programs and an interest in helping establish processes in a growing practice.
Key Responsibilities:
Manage daily office activities and administrative functions. Answer and route incoming calls professionally while assisting clients and families. Manage referral intake and assignments to providers. Maintain organized electronic and physical office files. Support the Board of Directors with requests.
Billing and Accounts Administration Support:
Collect incoming payments and monitor accounts receivable. Work with billing on outstanding balances for collection. Process vendor invoices for payment.
Payroll Support:
Collect and review provider timesheets and verify accuracy against schedule. Ensure timely payroll submission. Monitor pay rates, hours worked and payroll records for accuracy.
Recruiting and Onboarding Support:
Support the Administrator and HR with hiring and staff onboarding processes.
Administrative Duties:
Perform general office duties including data entry, filing and mail management. Support leadership with operational and administrative tasks as needed. Ordering supplies for office and field staff.
Qualifications:
2+ years of office management or administrative experience. Strong organizational and time-management skills. Ability to manage multiple priorities. Excellent customer service and communication skills. Proficiency with microsoft office and office software systems. Experience in Private Medical Practice, Home Health, Hospice is preferred.
