Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our office environment. Your energetic approach and attention to detail will support various administrative functions, enhance customer service experiences, and help maintain a productive workplace. Responsibilities Perform data entry, filing, and document proofreading to ensure accuracy and organization Maintain calendar schedules, coordinate appointments, and assist with calendar management for staff members Utilize office management software such as QuickBooks, Microsoft Office, and to streamline administrative tasks Provide exceptional customer support by responding promptly to inquiries via phone or email Support bookkeeping activities, including basic bookkeeping tasks and record keeping for financial transactions Assist with clerical duties such as photocopying, scanning, and organizing office supplies Ensure office procedures adhere to organizational standards and improve overall efficiency Qualifications Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or similar accounting software is highly desirable Excellent communication skills in both English and bilingual capabilities are a plus Previous experience working as a receptionist or in customer service roles such as dental or medical receptionists is advantageous Strong computer literacy with the ability to learn new software quickly Demonstrated ability to manage multiple priorities effectively with excellent time management skills Clerical experience including data entry, filing, proofreading, and document handling Knowledge of multi-line phone systems, phone etiquette, and professional interpersonal skills Personal assistant experience or experience managing calendars enhances suitability for this role Join us as an Office Administrator and become an essential part of a vibrant team dedicated to excellence!
