Job Description

An established and growing design-build remodeling company in the Tri Cities is seeking an exceptional Office Manager / Project Operations Coordinator to join our team. This is not a traditional administrative position. We are looking for someone who is highly organized, proactive, professional, and comfortable taking ownership of the many details that keep a successful company and its projects moving forward. This position sits at the center of our operations, working closely with company ownership, design and project management teams, clients, vendors, subcontractors, and suppliers. The right person will play an important role in project coordination, financial tracking, purchasing, scheduling, client communication, and overall office operations. No two days will look exactly the same. You may spend part of your day reviewing project costs and invoices, coordinating material orders and deliveries, updating schedules, communicating with clients, preparing project documentation, following up with vendors, or helping improve an internal company process. We are looking for someone who can see the bigger picture while still caring deeply about the details. What You'll Do Manage and support day-to-day office and administrative operations Assist with job costing, project financial tracking, invoices, purchase documentation, and change orders Coordinate purchasing and ordering of project materials, fixtures, and finishes Track orders, lead times, shipping, deliveries, backorders, damages, and outstanding material needs Communicate and coordinate with vendors, suppliers, and trade partners Assist with project, meeting, subcontractor, inspection, and delivery scheduling Serve as a professional liaison between clients and the project team Communicate scheduling information, project updates, documentation needs, and other relevant information to clients Maintain organized and accurate project records and documentation Assist with proposals, contracts, change orders, client materials, and internal reporting Support project closeout, punch-list coordination, warranties, and client handoffs Support company leadership with operational needs and special projects Identify opportunities to improve organization, communication, systems, and efficiency throughout the company Take on additional responsibilities as the position and company continue to evolve Who We're Looking For You may be an excellent fit if you are someone who naturally creates order, follows through without needing to be reminded, communicates confidently and professionally, and enjoys solving problems before they become bigger problems.
The ideal candidate is:
Exceptionally organized and detail-oriented Proactive and comfortable taking ownership Professional and polished in written and verbal communication Comfortable communicating directly with clients Confident working with numbers, budgets, invoices, and project costs Able to manage multiple priorities and shifting deadlines Resourceful and solution-oriented Comfortable working independently while also being part of a collaborative team Discreet with confidential client, employee, and financial information Comfortable learning and working within technology and project-management systems Interested in helping improve systems rather than simply maintaining them Experience in construction, remodeling, interior design, architecture, real estate, or another project-based professional environment is strongly preferred. Experience with Buildertrend or similar construction-management software is a plus, but not required for the right candidate.
