This role is vital in maintaining efficient workflows, supporting team members, and fostering a welcoming atmosphere for clients and visitors alike. The ideal candidate will possess strong organizational skills, technical proficiency, and excellent communication abilities to manage a variety of administrative tasks with enthusiasm and precision. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy. Oversee office management duties such as supply procurement, filing systems, and maintaining office equipment to ensure operational efficiency. Coordinate calendar management, schedule appointments, meetings, and conference rooms for staff and executives. Handle data entry tasks using spreadsheets and productivity software like Microsoft Office to maintain accurate records and reports. Provide exceptional customer service by addressing client inquiries promptly via phone or email, ensuring positive interactions. Support clerical functions including proofreading documents, word processing, and maintaining organized filing systems. Assist with personal assistant responsibilities such as travel arrangements and personal scheduling for team members when needed. Qualifications Proven experience in office management or administrative roles with a strong background in clerical work. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills. Experience with QuickBooks or similar accounting software is highly desirable. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong communication skills, including phone etiquette and client interaction experience; bilingual abilities are a plus. Familiarity with multi-line phone systems, data entry procedures, and filing systems to ensure smooth office operations. Demonstrated ability to manage calendar schedules, coordinate meetings, and handle time-sensitive tasks effectively.
