About This Role This is the front-line position of our office — the first voice clients hear when they call and the first face they see when they walk through the door. If you are someone who takes pride in making people feel welcome, stays organized in a fast-paced environment, and enjoys keeping things running smoothly behind the scenes, this role was built for you. No prior experience in finance is required — we will train the right person. What You'll Do Front Desk & Client Reception Answer and direct all incoming phone calls Greet and seat clients upon arrival with warmth and professionalism Handle routine client communication for standard next-step situations Keep the front office organized and welcoming Scheduling & Daily Administration Primary owner of the calendar and scheduling for both advisors Prepare meeting materials in advance of each client appointment Prepare and send weekly Check Logs Manage office supplies and general office upkeep Operations & Document Support Primary owner of DocuSign — prepare, organize, and send documents to clients Assist with account paperwork and data entry Make back office servicing calls to financial carriers as directed Flag documentation issues to senior staff proactively Team & Firm Support Assist with annual Client Appreciation Event logistics Help prepare client gifts for referrals and new clients Support newsletter mailings and firm communications Assist senior staff with onboarding and other as-needed tasks Whom We're Looking For Warm, personable, and professional — clients immediately feel comfortable around you Reliable and organized — you follow through and take ownership of your work Clear and confident communicator, in person and over the phone Comfortable learning new software and office systems quickly Discreet and professional with confidential client information Looking for a stable, long-term role where you can settle in and contribute
Pay:
$17.00 - $21.50 per hour
