Office Administrator Position Summary The Office Administrator is responsible for helping ensure the day-to-day operations of the office and showroom run smoothly, professionally, and efficiently. This position serves as an important point of contact for customers and provides administrative support to the sales, installation, and management teams. The ideal candidate is friendly, organized, dependable, detail-oriented, and comfortable managing multiple priorities throughout the day. Excellent communication and follow-through are essential, as this position plays an important role in creating a positive customer experience from the initial phone call through installation and follow-up. Primary Responsibilities Customer Service & Communication Answer incoming phone calls in a friendly and professional manner. Greet customers who visit the showroom and assist them with general questions. Respond to customer emails, voicemail messages, and other inquiries in a timely manner. Gather appropriate information from prospective customers and assist with scheduling consultations. Communicate appointment, order, installation, and service information to customers as needed. Follow up with customers regarding scheduling, outstanding information, service requests, and other administrative matters. Maintain a professional and helpful attitude when handling customer questions or concerns. Direct sales

Scheduling & Calendar Management Schedule customer consultations, appointments, installations, service calls, and other appointments as directed. Maintain accurate calendars for designers, installers, and office operations. Confirm upcoming appointments with customers. Communicate scheduling changes promptly to customers and team members. Help coordinate schedules to keep appointments and installations organized and efficient. Monitor the schedule for conflicts, missing information, or other issues that need attention. Order & Customer File Administration Enter and maintain accurate customer information in company systems. Create, update, and maintain customer records and files. Assist with processing orders and verifying that required information and documentation are complete. Monitor order status and communicate updates internally or to customers when appropriate. Maintain organized documentation for customer orders, installations, service requests, warranties, and payments. Assist with receiving products and matching incoming products to customer orders. Notify appropriate team members when products or materials arrive. Help ensure customer files are complete before installation or project completion. Installation & Service Support Assist with scheduling installations and service appointments. Provide installers with necessary customer and job information. Communicate with customers regarding installation dates, arrival information, or scheduling changes. Document service issues accurately and route them to the appropriate person. Assist with warranty and service paperwork as directed. Follow up on open service items to help ensure they are completed. Showroom & Office Responsibilities Open and/or close the office according to company procedures when assigned. Maintain a clean, organized, and professional showroom and front office. Keep desks, customer areas, displays, literature, and common areas organized. Monitor office and showroom supplies and notify management when items need to be reordered. Receive and organize mail, packages, and deliveries. Maintain organized paperwork, filing systems, and digital records. Assist with printing, scanning, copying, filing, and other general administrative tasks. Help maintain product samples and showroom materials. Ensure the showroom is ready and presentable for customers each day. Payment & Administrative Support Assist with collecting and documenting customer payments according to company procedures. Provide receipts and maintain accurate payment documentation. Protect confidential customer, employee, and company information. Team Support Communicate effectively with management, designers, installers, and other employees. Keep team members informed of customer messages, schedule changes, service concerns, and important updates. Assist team members with administrative needs when appropriate. Participate in team meetings and training. Help identify office processes that could be improved or made more efficient. Maintain a positive, professional, team-oriented work environment. Daily Office Duties Each day, the Office Administrator should: Check voicemail, email, and customer messages and respond or route them appropriately. Review the day's appointments, consultations, installations, and service calls. Confirm that the appropriate team members have the information needed for their appointments. Answer phones and assist showroom visitors throughout the day. Schedule and confirm appointments. Update customer records and document important communication. Review incoming orders, deliveries, or products as applicable. Follow up on outstanding customer or administrative items. Maintain the cleanliness and organization of the front office and showroom. Complete filing, scanning, paperwork, and other administrative tasks. Review upcoming schedules before the end of the day and identify anything requiring follow-up. A proactive mindset and willingness to take ownership of responsibilities. Expectations The Office Administrator is expected to take ownership of the daily administrative needs of the office. Rather than waiting for every task to be assigned, the employee should regularly review schedules, customer communications, open tasks, and office needs and take appropriate action within the responsibilities of the position. The Office Administrator should communicate proactively with management when an issue requires approval, involves a customer complaint, concerns pricing or company policy, or falls outside the authority of the position.
