Job Summary We are seeking an energetic and detail-oriented Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Responsibilities Greet visitors, clients, and staff with a warm, professional demeanor, ensuring a positive first impression. Manage multi-line phone systems to handle inquiries, direct calls accurately, and provide excellent customer support. Maintain organized front desk areas, including filing, data entry, and document management using spreadsheets and productivity software. Utilize office management tools such as Microsoft Office programs (Word, Excel) to prepare reports, correspondence, and schedules. Handle incoming and outgoing mail, packages, and deliveries with attention to detail and timeliness. Support administrative tasks such as appointment scheduling, calendar management, and basic bookkeeping using QuickBooks or similar software. Assist with office operations by managing supplies inventory, maintaining cleanliness, and ensuring office equipment functions properly. Skills Proven experience in office management or administrative support roles with strong clerical skills. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel), spreadsheets, data entry, and productivity software. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Exceptional phone communication skills with knowledge of multi-line phone systems and phone etiquette. Bilingual abilities are a plus to effectively communicate with diverse clients and visitors. Technical proficiency in office equipment such as fax machines, printers, and scanners. Demonstrated customer service experience with a friendly attitude and problem-solving capabilities. Ability to manage time effectively while handling multiple responsibilities simultaneously. Previous personal assistant or front desk experience is highly desirable for this role.
