Job Description

Office Administrator Job Purpose:
Supports company operations by maintaining office systems and supervising office staff
Office Administrator Job Duties:
  • Supervises the duties of the office assistant
  • Maintains office efficiency by planning and implementing office systems.
  • Sustains all Accounts Receivable
  • Pushes data from POS system to accounting system
  • Collects revenue by reminding delinquent accounts; notifying customers of insufficient payments.
  • Enters accounts payable invoices. Verifying transaction information; scheduling and preparing disbursements; obtaining authorization for payment
  • Maintains financial security by following internal accounting controls.
  • Resolves accounts payable discrepancies by investigating documentation; issuing stop payments, payments, or adjustments.
  • Balances all credit card transactions
  • Responsible for all purchasing of material
  • Responsible for insuring accuracy of inventory and available stock
  • Maintains all payroll accounts and reviews accuracy
  • Maintains payroll subscriptions & updates
  • Updates employee handbook, as needed
  • Prepare Commissions Reports
  • Responsible for completing all mandatory reporting for government entities
  • Prepares reports requested by Accountant
  • Reviews Accountant prepared quarterly payroll reports
  • Communicates with accountant for the processing of all W-2/W-3 and 1099/1096
  • Weekly Bank account rollup
  • Maintain and Submit Quarterly Reports and Payments.
  • Annual review of company insurance policy for accuracy
  • Secures financial information by completing data base backups.
  • Contributes to team effort by accomplishing related results as needed.
Skills/Qualifications:
Good at delegating, Tracking Expenses, Promoting Processes, Inventory Control, and Reporting Skills, Dependability, Attention to Detail, Administrative Writing Skills, Familiar with QuickBooks, Microsoft word, excel, and outlook
