Job Description

Position Overview The Secretary is the primary point of contact for members, guests, and vendors during office hours, keeping the day-to-day administrative life of the organization running smoothly. This is a part-time, in-person position with set days and hours so that phone calls, walk-ins, and routine correspondence are reliably handled. The role calls for someone organized, dependable, and comfortable managing a range of administrative tasks with minimal supervision, along with genuine warmth toward members during what are often meaningful or sensitive moments (a yahrzeit reminder, a condolence call, a donation acknowledgment).
Schedule:
Part-time, on specified days/hours to be determined (approximately 40 hours per month to start).
Reports to:
Board President Primary Responsibilities Office & Member Communications Answer and route phone calls, emails, and walk-in inquiries during posted office hours. Respond promptly to member communications regarding yahrzeits, donations, and general organization business, escalating anything requiring clergy or Board attention. Send death anniversary reminder notices and acknowledgment letters for donations and contributions in a timely manner. Maintain the member directory, including contact information, family details, and membership status. Administrative & Financial Support Process incoming mail, dues payments, and donations, and maintain accurate records for the Treasurer/bookkeeper. Prepare and distribute routine correspondence, mailings, and notices to the congregation. Maintain office files, records, and supplies, including membership, financial, and historical records as directed. Assist with scheduling of organization facilities, meetings, life-cycle events, and clergy calendars. Service & Event Coordination Support the Clergy, Board, and committee chairs with administrative tasks related to services, programs, and meetings. Distribute weekly or monthly bulletins, calendars, and service schedules. General Support Serve as the on-site contact for vendors, contractors, and service calls (maintenance, deliveries, etc.) during office hours. Perform other administrative duties as assigned by the Organization President, Board, or clergy. Qualifications Prior administrative, office management, or secretarial experience. Strong organizational skills and reliability; comfortable managing multiple ongoing tasks with accuracy. Proficiency with basic office software (word processing, email, spreadsheets) and willingness to learn organization -specific systems (membership database, donation tracking, etc.). Warm, discreet, and professional phone and in-person manner, including sensitivity when handling yahrzeit and bereavement-related communications. Comfortable working independently and taking initiative on routine matters. Previous experience in a house of worship or small nonprofit office preferred. Compensation Hourly position; rate and hours to be set based on budget and candidate experience.
Pay:
$15.00 - $20.00 per hour
