TBD Position Summary The Administrative Assistant to the President provides high-level administrative and organizational support to the President of Central Baptist College and assists in the effective operation of the Office of the President. The position serves as a primary point of contact for the President's Office and regularly handles sensitive and confidential information involving employees, students, trustees, donors, institutional finances, personnel matters, and other College business. The Administrative Assistant must demonstrate exceptional discretion, sound judgment, professionalism, and integrity. The ability to maintain strict confidentiality is an essential requirement of this position. In addition to providing administrative support to the President, the Administrative Assistant coordinates administrative matters related to the Board of Trustees, processes charitable gifts and maintains appropriate donor records, and provides administrative and secretarial support for the Executive Leadership Team. Essential Duties and Responsibilities Office of the President Provide comprehensive administrative support to the President and assist with the daily operation of the Office of the President. Manage the President's calendar, appointments, meetings, correspondence, and other scheduling needs. Coordinate meetings, prepare materials, maintain files and records, and assist with follow-up items as directed by the President. Draft, proofread, format, and distribute correspondence, reports, presentations, and other materials. Receive and appropriately respond to or route telephone calls, visitors, emails, and other communications directed to the President's Office. Assist with travel arrangements, itineraries, reimbursements, and other administrative logistics for the President. Maintain organized electronic and physical records for the Office of the President. Perform other administrative duties and special projects as assigned by the President. Confidentiality and Discretion Maintain strict confidentiality regarding all sensitive information encountered through the Office of the President, including personnel matters, student information, trustee discussions, donor information, financial matters, legal matters, institutional planning, and other nonpublic College information. Exercise sound judgment and discretion in determining what information may be shared, with whom it may be shared, and when matters should be referred directly to the President. Protect confidential documents, electronic records, conversations, meeting materials, and other information from unauthorized access or disclosure. Refrain from discussing confidential or sensitive College matters with individuals who do not have a legitimate institutional need to know. Demonstrate the highest standards of trustworthiness, professionalism, integrity, and discretion in all interactions. Board of Trustees Coordination Provide administrative and logistical support for meetings and activities of the Central Baptist College Board of Trustees under the direction of the President. Coordinate meeting dates, notices, facilities, meals, materials, and other logistical arrangements. Assist the President in compiling, organizing, and distributing agendas, reports, supporting documents, and other materials for trustee meetings. Assist the President with correspondence and communications to trustees. Maintain organized Board-related records and files assigned to the Office of the President. Coordinate trustee attendance, responses, and other administrative matters as needed. Maintain strict confidentiality regarding Board discussions, executive-session materials, personnel matters, and other nonpublic information received through the President's Office. Gift Processing and Donor Records Process charitable gifts received by the College in the institution's donor database and other appropriate systems. Maintain accurate donor and gift records and assist in ensuring that contributions are properly documented and acknowledged. Coordinate with the Advancement and Business Offices as necessary to reconcile gift information and maintain accurate records. Maintain strict confidentiality regarding donor information, giving history, contact information, and other sensitive development records. Assist with donor correspondence, acknowledgments, reports, and other administrative functions as assigned. Executive Leadership Team Serve as secretary and provide administrative support for meetings of the Executive Leadership Team. Coordinate meeting schedules, agendas, materials, and other meeting logistics as directed by the President. Record and maintain appropriate meeting minutes, decisions, and action items. Assist with communicating and tracking follow-up assignments and decisions. Maintain strict confidentiality regarding Executive Leadership Team discussions, deliberations, documents, and decisions. Qualifications Required High school diploma or equivalent; associate or bachelor's degree preferred. Previous administrative, executive assistant, office management, or related professional experience preferred. Demonstrated ability to handle confidential and sensitive information with exceptional discretion and integrity. Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills. Strong attention to detail and commitment to accuracy. Ability to exercise independent judgment and recognize when matters require the President's attention. Professional demeanor and ability to interact effectively with trustees, employees, students, donors, alumni, pastors, community leaders, and other constituents. Proficiency with Microsoft Office and the ability to learn institutional software, database systems, and other technology used by the College. The individual must demonstrate professionalism, discretion, good judgment, dependability, and integrity. Because the position has access to highly sensitive institutional information, maintaining confidentiality during and after employment is an essential expectation of the position. The Administrative Assistant is expected to support the Christian mission, values, and standards of Central Baptist College and to represent the College and the Office of the President in a manner consistent with those commitments.
