This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the first point of contact for visitors and clients, manage administrative tasks with efficiency, and support various office functions to promote productivity and professionalism. Typical work week is Monday - Friday 8:00 AM to 5:00 PM Your proactive attitude and excellent communication skills will help foster a welcoming atmosphere and streamline daily operations. Duties Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy Manage calendar appointments, schedule meetings, and coordinate office events. Perform data entry tasks accurately into spreadsheets and databases, including client information and billing records Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Support bookkeeping activities using Sage50 or similar accounting software to track expenses and invoices Assist with office management duties such as supply inventory, equipment maintenance, and general administrative support Provide exceptional customer service by addressing inquiries promptly and professionally, both in person and via phone or email Qualifications Proven experience in office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Demonstrated computer literacy with excellent typing speed and proofreading abilities Experience with data entry, filing systems, and document processing in a fast-paced environment Bilingual skills are highly desirable to support diverse client needs Strong organizational skills with the ability to prioritize tasks effectively Excellent phone etiquette, customer service orientation, and professional communication skills Familiarity with multi-line phone systems, calendar management, and office software such as productivity tools or bookkeeping programs like QuickBooks is preferred Previous experience as a front desk receptionist or medical receptionist is a plus but not required Join us to be an integral part of a vibrant team dedicated to excellence!
