Job Description:
Addison Group is hiring an Executive Assistant to provide high-level administrative and organizational support to senior Human Resources leadership. This position will work closely with leaders across Human Resources, Talent Acquisition, and Learning & Development. The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. This individual will coordinate schedules, meetings, communications, documentation, and administrative projects while handling sensitive information with a high degree of discretion.
Key Responsibilities:
Provide day-to-day administrative support to senior HR leaders and their respective teams. Coordinate complex calendars, meetings, interviews, and leadership discussions involving multiple participants and time zones. Develop and organize meeting materials, including agendas, presentations, reports, and follow-up documentation. Document meeting discussions, decisions, and assigned action items to help ensure timely completion. Coordinate business travel arrangements and related logistics when needed. Act as a professional point of contact between HR leadership, internal teams, and external contacts. Handle confidential employee and business information with appropriate discretion and professionalism. Monitor deadlines, deliverables, and ongoing HR initiatives to help keep projects on schedule. Assist with expense reporting, purchasing requests, and vendor-related administrative activities. Maintain organized electronic records, reports, and HR documentation. Look for ways to improve administrative workflows and increase efficiency across the HR function. Assist with special assignments, reporting needs, and other administrative projects as requested by HR leadership.
Qualifications:
5+ years of experience providing administrative support to executives or senior-level leaders. Previous experience supporting Human Resources, Talent Acquisition, Learning & Development, or a similar corporate function is preferred. Demonstrated ability to manage multiple calendars, competing priorities, and complex scheduling requirements. Excellent written and verbal communication skills. Strong ability to prepare professional correspondence and communications. Experience documenting meetings and tracking follow-up activities. Ability to work with confidential and sensitive information while maintaining a high level of discretion. Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Experience using collaboration platforms such as Microsoft Teams and Point. Exceptional organizational skills and strong attention to detail. Ability to anticipate leadership needs and take initiative with limited supervision. Strong project coordination and follow-through skills.
