Monday, Tuesday, and Thursday, 7:15 AM - 3:30 PM during the school year. Days worked align with the school calendar; school breaks and holidays are off. This position works throughout the summer with a modified schedule. Special events and school activities may require hours worked outside of the standard schedule.

Director of Administration Purpose The Office Assistant is the welcoming face and steady center of the Caritas administrative office. This person serves as the primary reception contact for students, parents, prospective families, visitors, vendors, and callers while keeping the daily flow of the campus organized, responsive, and well supported. The Receptionist combines warm hospitality with careful administrative execution, confidential student support, and consistent follow-through. This role anticipates needs, notices details, communicates promptly, and helps ensure that nothing important falls through the cracks. Reception, Hospitality & School Liaison Serves as the primary front-office receptionist and first point of contact for parents, students, prospective families, visitors, vendors, and community members. Warmly welcomes and assists each person entering the office, creating an orderly, helpful, and Christ-centered first impression. Answers and routes incoming phone calls and general email inquiries promptly and professionally; provides accurate school information or connects individuals with the appropriate staff member. Manages visitor and volunteer check-in procedures and supports adherence to campus access and safety protocols. Assists prospective parents and visiting families, including greeting, answering basic questions, gathering information, coordinating next steps, and supporting campus tours as requested. Provides reliable administrative presence and coverage in the office and helps direct the daily flow of students, parents, deliveries, meetings, and unexpected needs. Administrative & Office Operations Completes a wide range of recurring and as-needed administrative tasks accurately, efficiently, and by established deadlines. Maintains organized, confidential, and accessible school records and files in both digital and hard-copy formats. Manages the Caritas Attendance Inbox; tracks attendance information and supports accurate attendance follow-up and family communication. Prepares correspondence, forms, mailings, copies, instructional materials, and other documents for Grammar School and Upper School staff. Assists with appointments, calendars, meetings, schoolwide communications, data entry, and routine office projects. Picks up, sorts, and distributes incoming mail and deliveries; prepares outgoing mail and school documents. Maintains an orderly, functional admin office and workroom and helps establish systems that improve efficiency and prevent missed details. Conducts scheduled cleaning and organizational tasks on a specified schedule (daily, weekly, monthly, quarterly). Provides prompt, accurate updates to the Director of Administration regarding daily operations, concerns, incomplete items, and emerging needs. Supplies, Equipment & Facilities Coordination Receives supply requests and coordinates purchasing needs with the Director of Administration. Receives, inventories, organizes, and distributes office, classroom, curriculum, uniform, restroom, cleaning, and student supplies. Monitors office equipment, troubleshoots routine problems, initiates service requests when authorized, and follows through until issues are resolved. Receives and tracks facilities, maintenance, and equipment requests; coordinates with assigned staff or vendors and communicates status updates. Helps ensure that school spaces are clean, organized, safe, secure, supplied, and ready to support instruction and daily operations. After-School Clubs Coordination Serves as the school's primary administrative liaison for after-school clubs and communicates with club leaders, staff, families, and school leadership. Coordinates club schedules, rosters, room assignments, required forms, family communications, and other administrative details. Supports student dismissal and handoff procedures for club participants and helps resolve day-of questions or changes. Maintains organized, current club information and promptly escalates safety, supervision, facility, or scheduling concerns. Volunteer, Campus & Event Support Maintains current volunteer records and supports volunteer screening, onboarding, orientation, communication, and assignments. Assists with the coordination of recess and lunch duty volunteer rosters and weekly assignments. Supports campus opening and closing procedures, daily activities, and Grammar School or Upper School coverage as scheduled. Provides event support, including preparation of printed materials, check-in, setup, communication, and teardown as assigned. Performs recess/lunch supervision or other student-support duties when scheduled or when operational needs require coverage. Required Qualifications Agreement with and willingness to uphold the Caritas Christian Academy Mission, Statement of Faith, policies, and standards of conduct. Active participation in a local church and a demonstrated pattern of service within the body of Christ. Minimum of three years of related professional experience; school, nonprofit, or administrative experience preferred. Intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Google Workspace, with the ability to learn FACTS Management and other information systems. Current First Aid/CPR certification, or ability to obtain and maintain certification within the timeframe established by the school. Ability to obtain and maintain an Arizona Department of Public Safety Level One Fingerprint Clearance Card and successfully complete all required background checks. Attendance & Schedule Expectations Prompt, regular, and dependable attendance during assigned school hours is an essential function of this position because the role provides primary reception, student medical, and daily operational coverage. Availability for assigned school functions, training, special events, and occasional schedule adjustments may be required.
