Job Description
We are looking for a highly organized Sr. Administrative Assistant to provide day-to-day support to multiple leaders within a non-profit organization in Alhambra, California. This Long-term Contract position is ideal for someone who can manage competing priorities, coordinate meetings and events, and maintain accurate administrative records in a fast-paced environment. The role will support program operations, stakeholder communication, and documentation management while helping ensure smooth execution of team activities. Bilingual Spanish skills are especially valued for this opportunity.
Responsibilities:
- Provide administrative support to two managers and a director, ensuring schedules, documents, and ongoing priorities are managed efficiently.
- Coordinate virtual meetings, webinars, and stakeholder sessions, including scheduling, preparation of materials, and follow-up with presenters or attendees.
- Assist with vendor invoice processing, contract-related documentation, and accurate data entry to support project activities.
- Maintain organized electronic records, including SharePoint tracking and file management for easy retrieval and compliance.
- Support statewide program administration by preparing materials, organizing information, and responding to operational needs from internal and external stakeholders.
- Manage calendar logistics and conference call arrangements to keep meetings and appointments running smoothly.
- Help organize travel arrangements and related administrative details when needed.
- Prepare and update reports, presentations, and spreadsheets using Microsoft Office tools, especially Excel and PowerPoint.
