About the Position Electron Beam Engineering, Inc. (EBE) is looking for a detail-oriented and dependable Administrative Assistant to join our front office team in Anaheim. This is a hands-on administrative position supporting customer service, order entry, accounting, production documentation, and day-to-day office operations. The right candidate will be organized, comfortable working with detailed information, and able to communicate professionally with customers, vendors, and coworkers. This is an on-site, full-time position with a regular Monday-Friday schedule of 7:30 AM to 4:00 PM . What You'll Do Customer Service & Office Administration Greet customers, vendors, and visitors and follow company visitor-control procedures. Answer and route incoming phone calls. Assist customers with order status, shipments, documentation, and routine inquiries. Receive and distribute incoming mail and correspondence. Maintain organized electronic and physical records. Assist with general office functions and administrative projects. Order Entry & Customer Purchase Orders Review customer purchase orders for accuracy and completeness. Verify pricing, quantities, part numbers, revisions, specifications, certifications, and delivery requirements. Identify missing or conflicting information before orders are released to production. Communicate with customers to obtain corrected or missing information. Create and maintain Sales Orders and Routers. Accurately enter customer and job information into company systems. Work closely with Production, Quality, and management to resolve order-related issues. Accounts Payable / Receivable Enter vendor invoices into the accounting system. Prepare vendor payments and checks according to company procedures. Create purchase orders for company purchases. Assist with customer invoicing and accounts receivable activities. Maintain accurate accounting records and supporting documentation. Production Documentation Generate, enter, and update weld schedules in the company's weld schedule database. Maintain accurate production, quality, and customer documentation. Identify missing or inconsistent documentation and bring issues to the appropriate department. Provide administrative support to Production and Quality as needed. Credit & Collections Obtain credit information for new customers requesting credit terms. Assist with customer account and credit-limit reviews. Support collection activities and follow up on past-due accounts as directed. What We're Looking For High school diploma or equivalent required. 3+ years of experience in an administrative, accounting, customer service, order-entry, or similar office position preferred. Experience with accounts payable and accounts receivable preferred. Experience with accounting, ERP, order-entry, or job-management software. Proficiency with Microsoft Office, including Word, Excel, and Outlook. Strong attention to detail and commitment to accuracy. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to read and understand customer purchase orders and business documentation. Ability to identify errors and missing information before they create downstream problems. Ability to work independently, prioritize multiple tasks, and meet deadlines. Strong problem-solving skills and good judgment. Professional and reliable approach to working with customers, vendors, and coworkers. Manufacturing, aerospace, medical, or other regulated-industry experience is a plus.
