full-time Essential Responsibilities include, and are not limited to:
- Answering multiple phone lines.
- Prepare agendas, materials and emails for upcoming meetings and/or presentations.
- Handle any requests issued by Athena staff as required.
- Perform administrative and office support activities.
- Run errands including going to the, post office, Fedex offices etc.
- Scan invoices into Accounting system.
- Prepare & Mail out Fed Ex Packages, UPS, USPS, and Certified outgoing mail.
- Prepare and draft confidential correspondence, memos, and contracts.
- Prioritize and manage multiple projects and follow through on issues in a timely manner.
- Arrange meetings and appointments and provide reminders.
- Collect and monitor data and information and support/maintain agency database management systems.
- Collect and track insurance documents.
- Draft vendor service and maintenance contracts.
- Call vendors regarding past due bills.
- Assist Property Managers and Assistant Property Managers with miscellaneous administrative tasks.
Knowledge, Skills, and Experience Education and/or
Experience:
- 1-5 years experience in a similar role.
- Strong computer skills a must (MS Office Suite).
- Excellent verbal and written communication.
- Ability to handle multiple tasks with strong organizational skills;
- Detail oriented with independent work ethic.
- Property Management experience a plus.
