In this vital role, you will help ensure smooth daily operations by supporting our shipping, customer service, and general office functions. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone can thrive. Duties Verify outgoing packages have the correct shipping labels and packing slips before they go out Assist with customer service by addressing inquiries promptly and professionally across phone and email Operate multi-line phone systems, handle incoming calls, and greet visitors with professionalism and warmth Organize and maintain files, documents, and records through efficient filing systems, both digital and physical Support office management activities such as calendar management, scheduling appointments, and coordinating meetings Assist with clerical tasks including proofreading documents, preparing correspondence, and managing office supplies Help with light data entry and other various tasks as they come up Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Experience with some kind of business software (e.g., Shopify, QuickBooks, Odoo, Salesforce, or similar) Photoshop or Canva experience is a plus Excellent communication skills in English; bilingual ability is a plus for diverse client interactions Experience handling multi-line phone systems and practicing professional phone etiquette Previous clerical or administrative experience in an office environment or as a personal assistant preferred Knowledge of office management practices including filing systems, calendar management, and time management techniques Ability to multitask effectively in a fast-paced setting while maintaining accuracy and professionalism Join us as an Administrative Assistant where your proactive attitude will make a real difference!
