Job Description

We are seeking an organized and detail-oriented Administrative & Operations Assistant to support clinical and operational initiatives across our programs. This role is responsible for maintaining trackers, coordinating projects, supporting hiring processes, monitoring documentation compliance, and ensuring operational tasks move forward efficiently. The ideal candidate is highly organized, proactive, able to manage multiple priorities, and comfortable following up on details and keeping projects on track. Responsibilities include but are not limited to: Maintain outpatient provider tracking systems, including caseloads, availability/openings, and documentation compliance Monitor and track note completion and signature timeliness; identify trends and flag concerns Assist with tracking action steps and timelines for larger projects, including new program development and operational initiatives Support policy implementation and audit readiness by maintaining trackers, deadlines, and follow-up items Coordinate interviews, manage candidate tracking, schedule meetings, and complete reference checks Maintain ongoing maintenance and facility project trackers Track meeting action items and follow up on outstanding tasks Enter and maintain information in practice management and internal tracking systems Create, organize, and maintain electronic files and operational documents Provide administrative support to the Clinical Director and leadership team Other administrative and operational duties as assigned Skills & Qualifications Previous experience as an Administrative Assistant, Operations Assistant, Project Coordinator, or similar role (required) Strong organizational and project-tracking skills Advanced proficiency in Microsoft Excel and Microsoft Office Ability to manage multiple projects and competing priorities Strong attention to detail and follow-through Excellent written and verbal communication skills Ability to work independently and proactively identify next steps Comfortable managing timelines, tracking systems, and operational workflows Experience in healthcare, behavioral health, or medical settings preferred Experience with practice management software preferred Bachelor's degree preferred We are an equal opportunity employer and value diversity at our company.
