  • 17:00) Job Summary We are seeking a professional and customer-focused Administrative Assistant to support the California Prenatal Screening Program.
The administrative team serves as the first point of contact for community providers, laboratories, stakeholders, and other program partners. This role provides warm, friendly, and courteous assistance , handles a high volume of incoming calls and electronic faxes, and accurately triages and routes inquiries to the appropriate staff. The California Prenatal Screening Program is a voluntary, statewide public health service that offers blood tests to pregnant individuals to assess the risk of certain genetic conditions and birth defects in a developing fetus. Required Qualifications High School Diploma or GED 1 year of customer service and/or administrative experience Flu vaccination required — no declinations/no exemptions Typing speed of 40 WPM Excellent customer service and communication skills Strong verbal and written communication abilities Computer proficiency and ability to learn new systems quickly Working knowledge of Windows or comparable computer systems Experience with email and internet-based software Experience with virtual conferencing platforms such as Microsoft Teams, Zoom, or comparable systems Ability to manage a high-volume workload while maintaining accuracy and professionalism Preferred Qualifications Previous experience in a healthcare or hospital setting Experience working with healthcare providers, laboratories, or public health programs Experience handling high-volume telephone calls Experience with Automatic Call Distribution (ACD) systems Experience processing electronic faxes Key Responsibilities Serve as the first point of contact between the program and community providers, laboratories, stakeholders, and other external partners. Provide warm, friendly, and courteous customer service. Answer and manage a high volume of incoming calls through the Genesys Automatic Call Distribution (ACD) system . Triage calls and accurately route inquiries to the appropriate staff members. Manage approximately 1,399 calls per month . Receive, review, and process approximately 130 incoming electronic faxes per month . Respond to inquiries professionally and provide appropriate information or assistance. Communicate effectively with providers, laboratories, stakeholders, and internal staff. Use email, internet-based applications, Teams/Zoom, and other computer systems as required. Maintain accurate records and documentation. Follow established procedures for handling calls, faxes, and program-related inquiries. Protect confidential and sensitive information. Perform other administrative duties as assigned.
