Job Description

The Opportunity:
The Office Coordinator undertakes a variety of day-to-day office and clerical tasks to ensure that the office operations run smoothly and are successful in supporting field operations.
Essential Functions:
Perform various clerical tasks as needed (file papers, organize supplies, etc.) Manage, sort, and dispense incoming mail and faxes Prepare outgoing mail, faxes and packages Clean and tidy public office spaces Frequently check office supply stock; reorder supplies when needed, including picking up orders from stores, vendors or hotels Help manage contracts and renegotiation when necessary Follow up on certificates of insurability Assist with entering audit scores every Coordinate celebrations such as anniversaries, birthdays and milestones Answering and directing phones calls to appropriate department Assist with processing invoices, as needed Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy Maintaining office equipment including scanners, fax machines, printers, and telephones Provide support to the department managers Coordinate lunch for in-house meetings Other duties as assigned or necessary to support the program, office and/or the company Assist with travel arrangements/appointments etc. for corporate and General Managers Work with Purchasing Manager and President in tracking orders and maintaining vendor relationships Obtain and manage vendor contracts to ensuring all agreements are current and comply with company policies. Research, compare, and negotiate product pricing to secure the best value while maintaining quality standards. Purchase supply of products/materials
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation. Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to diffuse anger, collect accurate information and resolve conflicts Quantitative processing of data via office machine equipment, mathematical computations and analytical skills necessary to accurately determine and communicate financial, forecasting and space utilization calculations. Proficiency in the use and operation of computer systems with the ability to navigate efficiently through Word, Excel, PMS and Sales Reporting (Salesforce/Amadeus) Ability to read, write and speak the English language to fully comprehend guest requests, memos, proposals, general correspondence and similar written materials. Possess a good conceptual understanding of electronic devices and the ability to operate such items as a/v equipment for meeting, slide projectors, microphones, computers, etc. Ability to complete a contract in compliance with all checklists, standards and hotel policies. Interpersonal skills to provide overall guest satisfaction.
EDUCATION
Minimum of High School Graduation or equivalent
EXPERIENCE
Excellent customer service skills Organized and detail-oriented Outstanding communicator both verbally and written 2 years office experience
