Job Description
Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors. Responsibilities Manage front desk duties, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems efficiently, directing calls and taking messages accurately Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks using Microsoft Office, Google Workspace, and other office software with precision Support bookkeeping activities using QuickBooks or similar accounting tools Assist with calendar management and scheduling appointments for team members or executives Provide excellent customer service by responding promptly to inquiries via phone or email Handle clerical tasks such as proofreading documents, preparing reports, and managing correspondence Support office management activities including supply inventory, maintenance requests, and organization of office spaces Offer personal assistant support when needed, including travel arrangements or task prioritization Requirements Proven experience in an administrative or clerical role within an office environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional phone etiquette and customer service skills; experience with multi-line phone systems preferred Experience with QuickBooks or bookkeeping is advantageous but not mandatory Attention to detail in proofreading documents and maintaining accurate records Personal assistant experience or office management background is highly valued Join us as an Administrative Assistant and become a key contributor to our vibrant team!
