This position plays a key role in managing accounts payable, accounts receivable, project-related accounting functions, payroll support, and administrative operations within a fast-paced construction environment. The ideal candidate will have experience with construction accounting processes, strong organizational skills, and the ability to maintain confidentiality while supporting both accounting and HR-related functions. Key Responsibilities Assist with accounts payable and accounts receivable processes, including progress invoice entry, payment tracking, and collections follow-up. Monitor customer accounts and contact clients regarding outstanding balances and payment status. Maintain accurate records of A/R activity and provide regular reporting updates to management. Enter and maintain accounting data in QuickBooks Enterprise Contractor Edition and Buildertrend . Support project accounting functions, including purchase orders, subcontractor invoices, job cost tracking, and budget updates. Review and reconcile vendor statements and assist with month-end accounting tasks. Assist the Payroll Administrator with reviewing employee timecards and ensuring accurate job costing allocations. Support employee onboarding, new-hire documentation, and maintenance of confidential personnel files. Prepare, organize, and maintain accounting reports, project documentation, and compliance records. Coordinate training requirements, and company compliance documentation. Provide bilingual (English/Spanish) support to employees, customers, and management. Perform general office duties including phone support, filing, correspondence, and document management. Required Qualifications Minimum 2 years of experience in accounting, bookkeeping, construction accounting, or administrative support . Experience with Accounts Payable, Accounts Receivable, and general accounting procedures . Construction industry experience strongly preferred . Bilingual in English and Spanish (written and verbal). Proficiency with Microsoft Office, including Excel, Outlook, Word, and PowerPoint . Ability to type 60 WPM . Strong attention to detail, accuracy, and organizational skills. Ability to manage multiple priorities in a fast-paced environment. High level of professionalism and confidentiality. Reliable transportation and excellent attendance. Ability to communicate effectively across multiple departments and with external customers and vendors. Preferred Skills Experience using QuickBooks Enterprise Contractor Edition . Experience with Buildertrend or other construction management software. Familiarity with job costing, project tracking, and construction payroll processes . Experience supporting month-end close and account reconciliations. Strong customer service and communication skills.
