This position reports directly to the Regional Manager and is responsible for performing administrative duties on a professional level while working closely with the terminal management staff in supporting the Los Angeles Region. The Terminal Admin Assistant may carry out responsibilities in the following functional areas: driver billing paperwork, driver payroll, equipment paperwork, driver certifications and renewals as well as other administrative duties. The Terminal Admin Assistant must be sensitive to balancing the Company's needs with employee goodwill.Summary of Essential Functions:
- Assist in maintaining driver schedules, updates to system and spreadsheets
- Review for accuracy, follow up on outstanding items, process, and maintain all driver billing paperwork for the Los Angeles region
- Maintain office and driver supplies in an organized manner
- Assist and coordinate paperwork between drivers and other departments, such as dispatch, payroll or human resources
- Assist the terminal managers in researching and providing accurate information for driver pay exceptions, in addition to ensuring that the driver's electronic logs are annotated with appropriate notes
- Assist with sending any shop related paperwork to the appropriate departments.
- Assist with organizing and maintaining fuel receipts for the terminal
- Assist terminal management with various re-certification processes, truck permits, setting truck services, or monitoring other driver expirations and coordinating for renewals
Required Education and Experience:
- Minimum 1 year of administrative experience
- Must possess excellent analytical skills and attention to detail
- Must possess excellent verbal and written communication skills
- Ability to interact professionally with employees at all levels
- Must possess excellent organizational and time management skills
Preferred Education and Experience:
- Experience in the trucking industry
- 1 year of TMW experience a plus
