This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant, you will serve as the first point of contact for visitors and callers, manage office tasks efficiently, and contribute to a positive and productive work environment. Responsibilities Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately Handle data entry tasks accurately using computer literacy tools such as Microsoft Office and Google Workspace Maintain organized filing systems, including digital and physical documents, ensuring easy retrieval of information Assist with calendar management and scheduling appointments or meetings for staff members Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices Perform clerical duties such as proofreading documents, preparing correspondence, and managing office supplies Provide general administrative support including copying, scanning, faxing, and maintaining office equipment Offer exceptional customer service by responding promptly to inquiries and supporting client needs with professionalism Qualifications Proven experience in an office environment with strong clerical skills and organizational abilities Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is preferred Excellent phone etiquette with experience managing multi-line phone systems Bilingual skills are a plus to effectively communicate with diverse clients and team members Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks Ability to manage time efficiently while handling multiple responsibilities in a fast-paced setting Previous experience in customer service or front desk roles is highly desirable Knowledge of office management procedures and administrative best practices Join us as an Office Assistant to be a key contributor in creating an efficient, welcoming environment where teamwork thrives!
