Job Description
POSITION SUMMARY
Reports to and is under the direct supervision of the Fire Prevention Coordinator. Responsible for carrying out general office duties, processing, purchasing, maintaining equipment inventory, scheduling equipment maintenance, and coordinating a variety of projects plus managing seasonal wildfire contracts.DUTIES AND RESPONSIBILITIES
- Monitor grant deliverables and funding codes.
- Track grant and fund expenditures.
- Prepare and process purchase orders consistent with the policies of Quartz Valley Indian Reservation and grants.
- Maintains oversight of daily operations, activities, organization, and logistics of assigned program.
- Performs a wide variety of routine clerical work including filing, billing, checking, tracking, recording information on records, purchasing, invoicing, and training information.
- Orders office supplies and equipment.
- Screens calls, greet visitors, respond to emails, and refer inquiries as appropriate.
- Update equipment inventory list, track equipment maintenance, and schedule equipment maintenance.
- Work closely with the Fire Department personnel, department personnel, Tribal personnel, and outside agencies to coordinate seasonal fire contracts, equipment contracts, etc.
- Produce a variety of analytical and technical reports for the Tribe and for funding agencies.
- Invoicing fire crew activities to appropriate wildfire agency for reimbursement.
- May be assigned other duties as required to meet the needs of the organization.
