welcome every guest like a neighbor, treat everyone fairly, and be good stewards of these grounds. The office is the front door of the park. Whoever sits at that desk sets the tone for how residents and visitors experience this place. About the Role We are looking for an Office Assistant to handle the day-to-day front office work at the park. You will be the first person guests see and the first voice they hear, and you will keep the reservations, billing, and records side of the office running cleanly. This is a hands-on role at a small operation. Some days are steady paperwork and phone calls. Other days a guest arrives early, a vendor shows up, and the phone rings at the same time. We need someone who stays organized and pleasant under all of it. What You Will Do Front office and guest service Greet residents, arriving guests, and visitors at the office window and on the phone Answer the park office line, take messages, and route urgent or after-hours matters to the Park Manager Process check-ins and check-outs, issue gate access and site assignments, and walk arriving guests through park rules and amenities Take reservations and manage the booking calendar in our guest portal (Firefly) Receive and log packages at the office, and notify guests for pickup Answer everyday questions about park rules, amenities, quiet hours, laundry, and local services with patience and consistency Billing and records Post rent payments, issue receipts, and track balances and late fees Record monthly electric submeter readings and prepare utility billing for Park Manager review Maintain resident and guest files, agreements, vehicle and pet registrations, and insurance documents in both digital and paper systems Enter data accurately in QuickBooks and Excel, and reconcile daily deposits Keep records organized so any document can be produced quickly when needed Park support Prepare correspondence, notices, and forms at the direction of the Park Manager, including compliance and courtesy notices to residents Log maintenance requests and guest concerns, and follow up so nothing falls through the cracks Coordinate with vendors and contractors on scheduling, check-in, and required documentation Order and stock office supplies Assist with park events, seasonal mailings, and community announcements Walk the park periodically to verify site occupancy, check on posted notices, or assist a guest What You Bring Required Two or more years in a front office, administrative, property management, hospitality, or customer service role Comfortable with Microsoft Word, Excel, and Outlook, and able to learn new software quickly Accurate data entry and a genuine attention to detail on money and records Warm, steady phone and counter manner, including with frustrated or upset guests Able to juggle several things at once without losing track of any of them Discretion with confidential resident information, payment details, and tenancy matters Valid California driver's license Able to work weekends as scheduled Preferred Experience with QuickBooks or comparable accounting software Background in RV park, mobile home park, campground, or apartment property management Familiarity with reservation or property management software Conversational Spanish Working knowledge of California mobile home or RV park tenancy rules Physical and Work Conditions Work is primarily in the park office. The role includes periodic walking of the park grounds in outdoor conditions, occasional lifting of packages and supplies up to 25 pounds, and extended periods at a desk and computer.
