The Administrative Assistant provides administrative support for the California based operations. Job responsibilities involve handling a wide range of administrative support tasks across a variety of disciplines and requires working independently, with minimal supervision. An individual in this position must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a fast-paced office environment. The position requires that the individual maintain the utmost confidentiality regarding information obtained, learned, and utilized by them in the performance of their duties.
Responsibilities/Performance Standards:
1. Schedules and conducts new hire orientation. 2. Track and facilitate required employee trainings. 3. Maintain up-to-date and current confidential company personnel, medical, and office files. 4. Maintain accurate and up-to-date payroll logs for So. California Sause Bros. personnel. 5. Orders, stocks, and maintains inventory of office and maintenance shop supplies. 6. Prepares and processes all customer invoices for Southern California. 7. Prepares and processes all Inter-Company invoices for Southern California. 8. Perform all secretarial and clerical services in the office, including reception, written correspondence, incoming and outgoing mail, work schedules, file maintenance, and accounts payable duties. 9. Attend meetings and summarize the events, such meetings may include weekly Operations Meetings, JLRC's and more. 10. Courteously receive and assist with all inquiries or direct to the requested party. 11. Process daily incoming and outgoing mail. 12. Provide clerical support to port engineering, tug and barge departments. 13. Utilize and provide feedback as to status of open account vendors specifically including competitive pricing for each vendor. 14. Order, purchase, receive, inventory, and deliver consumable stores and supplies to vessels as requested by crew members and shore-based crew in the performance of their duties. 15. Consumable inventories are to be maintained at levels that will ensure timely re-supply without disruption to operations. 16. Receive, verify invoices and maintain records for all purchases, work in close cooperation with accounts payable to ensure terms are met and payment is processed. Maintain records of warranties, registration for all major appliances, tools, and part information per tug. 17. Coordinate delivery of supplies with vendors assuring quality and quantity of order. 18. Vessel purchases and inventories for the engine room shall be made with the approval of the Port Engineer; deck equipment shall be approved through the Port Captain. 19. Performs other duties as may be assigned.
Qualifications:
Incumbent will have High School diploma or equivalent with experience in a human resource/personnel administrative assistant role; or bachelor's degree in human resources or a related field (preferred) . Working understanding of Human Resource principles, practices, and procedures. Knowledge of HR Laws (e.g., FMLA, FLSA, HIPAA, etc.) preferred. Proficient computer and data management skills in a Windows-based platform with advanced Microsoft Office suite experience. This position requires a person with a strong customer service attitude and professional demeanor, or as approved by the President.
Pay:
$50,000.00 - $60,000.00 per year
