Office Assistant Promoitalia LLC, a leading Medical Aesthetics company present in over 100 countries worldwide, is looking for a reliable and proactive Office Operations Coordinator to support its daily administrative, operational, and customer service activities in the Los Angeles Office. This is an excellent opportunity for a detail-oriented professional who enjoys working in a fast-paced environment and takes pride in delivering exceptional administrative and customer support. Key Responsibilities Office Operations Coordinate the day-to-day operations of the office to ensure an efficient and professional working environment. Manage office supplies, equipment, facilities, and relationships with external vendors. Coordinate incoming and outgoing mail, shipments, and courier services. Organize meetings, calendars, travel arrangements, and general business logistics. Maintain office documentation, records, and administrative files. Support expense reporting and general administrative processes. Assist management with operational and organizational activities. Help coordinate company events, meetings, and internal projects. Identify opportunities to improve office processes and operational efficiency. Customer Service & Business Support Serve as the first point of contact for customers, distributors, and business partners via phone and email. Respond promptly and professionally to inquiries, ensuring a high level of customer satisfaction. Coordinate with Sales, Customer Service, Operations, and Logistics teams to ensure timely resolution of requests. Maintain accurate customer information within the CRM system. Monitor open requests and proactively follow up to ensure completion. Support order administration and general customer communication when required. Build positive relationships with customers and external partners through professional communication. Qualifications Minimum of 3 years of experience in Office Administration, Office Operations, Executive Assistance, Customer Service, or a similar role. U.S. Citizen or Green Card holder. Excellent written and verbal communication skills in English. Strong organizational, planning, and multitasking abilities. Excellent interpersonal and problem-solving skills. Customer-focused attitude with a proactive, positive approach. Ability to work independently while managing multiple priorities. High level of accuracy and attention to detail. Proficiency with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Experience with CRM systems such as Salesforce or similar platforms is an advantage.
