Job Description
About Us We are a physician-led Maternal-Fetal Medicine (MFM) practice based in Los Gatos, focused on providing high-quality, compassionate care for high-risk pregnancies. We work closely with OB/GYNs, fertility clinics, and intended parents to deliver expert consultations and advanced ultrasound services in a patient-centered environment. The practice is led by Dr. Santosh Pandipati and is affiliated with UCSF. We are building a thoughtful, collaborative team and creating a strong operational foundation from the ground up. About the Role We are looking for a reliable, organized, and personable Administrative Assistant to support day-to-day clinic operations. This role works closely with the Operations Manager and plays an important part in ensuring a smooth experience for patients and referring providers. This is a hands-on administrative role with a focus on execution, organization, and patient interaction. Key Responsibilities Greet and check in patients in a warm and professional manner Schedule appointments and assist with coordinating referrals Answer phone calls and respond to emails from patients and referring offices Collect and verify patient insurance and demographic information Support patient intake and ensure charts are complete and accurate Assist with co-pay collection and basic billing support tasks Help with prior authorizations, medical records requests, and fax management Maintain a clean, organized, and HIPAA-compliant front office Provide general administrative support to the Operations Manager Preferred Qualifications 1+ year of experience in a medical office setting (required) Experience in OB/GYN or maternal-fetal medicine is a plus Familiarity with EPIC or other EHR systems preferred Strong attention to detail and clear communication skills Ability to stay organized and manage multiple tasks Comfortable working in a small, team-oriented environment Why Join Us?
