Job Description
Description We are looking for an Administrative Assistant for a Contract position based in Monterey, California. This role will provide front desk and administrative coverage while supporting daily office operations for a small group, including calendar coordination for a company leader. The ideal candidate brings strong organizational skills, confidence with Microsoft Office tools, and a flexible approach to shifting priorities.
Responsibilities:
- Provide reception and administrative support by managing calls, greeting visitors, and handling routine office communication throughout the day.
- Coordinate schedules and maintain calendar appointments, with direct support for one primary leader and general assistance for a small team.
- Prepare letters, forms, reports, and other business documents using Microsoft Word, Excel, Outlook, and related Office applications.
- Enter, update, and organize information accurately in spreadsheets and internal documents to support reporting and recordkeeping needs.
- Respond to email inquiries and assist with general correspondence in a thorough and timely manner.
- Help maintain smooth daily operations by adapting to changing administrative needs and taking on a variety of office support tasks as assigned. Requirements
- At least 2 years of administrative support experience in an office environment.
- Strong working knowledge of Microsoft Office, including Excel, Outlook, Word, and PowerPoint.
- Experience managing calendars, scheduling meetings, and coordinating appointments.
- Ability to handle inbound calls, email communication, and data entry with accuracy and professionalism.
- Strong customer service skills and a dependable approach to front desk support.
- Flexibility to adjust to changing priorities and provide coverage where needed.
