Job Description

Job Overview A major fishing and seafood processing company, is seeking an Administrative Assistant for their Ventura County, CA facility. The individual hired for this position will be responsible for overseeing daily office operations in a number of areas. We are seeking a highly organized, proactive, and dependable Administrative Assistant who is equally comfortable managing administrative operations and rolling up their sleeves for hands-on tasks. This pivotal role combines administrative expertise with team leadership, overseeing daily office activities, managing vendor relationships, and supporting staff to foster a productive and welcoming workplace. The ideal candidate will possess exceptional communication skills, strong organizational abilities, and a proactive attitude to handle diverse responsibilities with enthusiasm and precision.
Key Responsibilities:
  • Oversee daily office operations, ensuring efficient administrative, secretarial, and managerial support.
  • Provide secretarial and personal assistant support, including correspondence, scheduling, filing, errands, data entry, and special projects.
  • Serve as a primary point of contact for internal staff, clients, vendors, and external partners.
  • Manage accounts payable and accounts receivable functions, processing and approving purchase orders, invoices, and expense reports.
  • Assist with payroll coordination and maintaining accurate financial and accounting records.
  • Reconcile accounts and support monthly and year-end financial reporting.
  • Act as the primary liaison between the staffing agency and labor workers, coordinating onboarding documentation, scheduling, timekeeping, and communication for temporary staff.
  • Maintain and track all regulatory licenses, certifications, and renewals to ensure ongoing compliance.
  • Monitor deadlines and submit required documentation in a timely manner.
  • Manage vendor relationships, office supplies, and service contracts.
  • Support budget tracking and cost control initiatives.
  • Ensure confidentiality, accuracy, and compliance with internal policies and procedures.
Required Qualifications:
  • Experience in accounts payable and accounts receivable.
  • Proficency in Microsoft Office.
  • Fluency in English and Spanish.
  • ERP experience is a plus.
