Position Overview:
The Administrative Assistant plays a key role in supporting the daily operations of both the Client Services and HR/Admin departments. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. They will assist with client-facing administrative tasks, internal HR and personnel processes, scheduling, documentation, and general office support. This role requires professionalism, discretion when handling confidential information, strong communication skills, and the ability to collaborate effectively with both internal staff and external stakeholders. The Administrative Assistant contributes directly to operational efficiency and a positive client and employee experience.
Key Responsibilities:
Provide administrative support to both the Client Services and HR/Admin departments Prepare, organize, and maintain client files, employee records, and internal documentation Assist with HR functions such as onboarding paperwork, tracking employee documentation, and maintaining confidential records Respond to general inquiries via phone and email in a professional and timely manner Help coordinate internal meetings, trainings, and company events Perform data entry and maintain accurate records in internal systems Provide general office support and contribute to maintaining organized and efficient workflows
Qualifications:
Current college student or recent graduate seeking hands-on professional experience, or an individual eager to gain administrative and office experience Strong organizational skills and attention to detail Excellent written and verbal communication skills Ability to manage multiple tasks and prioritize effectively Professional demeanor and ability to handle confidential information with discretion Proficiency in Microsoft Office or Google Workspace (or willingness to learn quickly) Positive attitude, reliability, and willingness to support multiple teams
