Administrative Assistant to the Director of Sales The Floor Store, Inc. We are seeking an organized and dependable Administrative Assistant to provide administrative and operational support to our Director of Sales. About the Position This is a full-time, non-exempt position based at our corporate office in Richmond, California. The Administrative Assistant will work under the direction of the Director of Sales and assist with reporting, merchandising, scheduling, communications, and the coordination of sales-related activities. The position requires regular visits to our Bay Area showroom locations, approximately three to five times per week. This is a support position and does not supervise employees or independently establish sales strategies, policies, or departmental objectives. Key Responsibilities Provide day-to-day administrative and organizational support to the Director of Sales. Maintain the Director of Sales' calendar and assist with correspondence, travel arrangements, and expense tracking. Compile sales performance information and prepare KPI, forecasting, open-order, and stocked-product reports for review by the Director of Sales. Review daily invoices for completeness and accuracy and report discrepancies to the appropriate manager. Update spreadsheets and prepare monthly and quarterly reports as directed. Assist with maintaining CORE sample inventory, product books, price lists, price tags, and product specification materials. Help coordinate merchandising activities, material ordering, and store remodeling projects under the Director's direction. Maintain CRM data and assist with proposals, quotes, lead follow-up, and gathering information related to customer escalations. Facilitate communication among the Director of Sales, store managers, sales associates, vendors, and other departments. Provide administrative support for recruiting, onboarding, and offboarding activities in coordination with Human Resources and the Director of Sales. Schedule interviews and maintain performance review, training, certification, and team roster records. Provide logistical and administrative support for sales meetings, training sessions, approved incentive programs, and team events. Order approved store supplies and assist with documentation related to new store openings and permits. Draft communications and announcements for the Director of Sales' review and approval. Track assigned action items and deadlines and follow up as directed. Qualifications Associate degree required; bachelor's degree preferred. At least two years of experience in an administrative, sales support, or operations role preferred. Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment. Excellent written and verbal communication skills. Strong attention to detail and follow-through. Strong mathematical, reporting, and analytical skills. Proficiency in Microsoft Office, including Excel; experience with QFloors is a plus. Ability to work collaboratively with employees, managers, vendors, and other departments. Ability to travel regularly to Bay Area store locations. Self-motivated, adaptable, and comfortable taking direction while working independently on assigned tasks. Compensation and Schedule Starting pay of $25.00 per hour, based on experience. Full-time, non-exempt position. Monday through Friday schedule. Based in Richmond, California, with regular travel to Bay Area store locations.
