In this vital role, you will serve as the backbone of our office operations, providing essential administrative support to project managers, field teams, and clients. Your energetic approach and attention to detail will ensure seamless communication, accurate record-keeping, and efficient office management. Duties Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Maintain organized filing systems for project documents, contracts, and confidential information Handle data entry tasks using Microsoft Office and Google Workspace to update project schedules, logs, and reports Assist with bookkeeping duties such as invoicing, expense tracking, and using QuickBooks software Coordinate calendar management for project meetings, site visits, and client appointments Support office management by ordering supplies, maintaining equipment, and ensuring a tidy workspace Provide excellent customer service by supporting client communication and addressing inquiries promptly and professionally Experience Proven clerical or administrative experience in an office setting, preferably within the construction or related industry Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and data entry skills Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are a plus to assist diverse client needs and team communication Demonstrated ability to handle confidential information with discretion and professionalism Prior experience in office management or personal assistant roles is beneficial but not required This role is perfect for motivated individuals who thrive on organization, enjoy supporting teams behind the scenes, and are eager to develop their career in construction administration.
