The Office Assistant - Assisting with some Data Entry (Entry Level) supports administrative operations by accurately entering, updating, and maintaining data across various systems. This role ensures the integrity of records, facilitates smooth workflow, and contributes to overall office efficiency through clerical and organizational tasks. Administrative & Office Operations Assist with daily office tasks including phones, emails, correspondence, and scheduling. Greet clients, vendors, and visitors in a professional and welcoming manner Maintain organized filing systems - both physical and digital - for work orders, aircraft records, and vendor documents Scan & Process Office and parts purchasing records Prepare and format professional correspondence on company letterhead Receive incoming packages and direct to shipping & receiving department Assist with customers quotes and copying paper Assist in paying vendors invoices, accounts payable/receivable Assist and facilitate incoming invoices and incoming orders to proper person Assist in facilitating every invoice or incoming orders have corrected and proper paperwork Assist with saving PO, Certs, Invoices, Receipts proper QB entry Assist with entering customer parts into QB upon request Assist in creating customer parts list in one-note Maint office supplies and coffee customer snacks Aviation-Specific & Regulatory Duties Assist on Maintain and organize FAA maintenance records, aircraft logbooks, and airworthiness documentation Assist with printing log entry and processing them accordingly Assist with updating Customer work spreadsheets Assist in preparing paperwork for FAA Keep track of customer aircraft paperwork from vendors Assist with transponder and static system check scheduling in coordination with vendors Maintain Parts Sales records and track parts orders and inventory Assist on sorting customers aircraft paperwork into binders or pouchesQualifications:
High school diploma or equivalent; coursework in business or office administration preferred Proficiency in Quickbooks and Microsoft Office Suite (Excel, Word, Outlook) and basic database tools Strong attention to detail and commitment to accuracy Ability to manage time effectively and prioritize tasks Clear written and verbal communication skills Willingness to learn and adapt to new systems and proceduresWork Environment:
Office-based setting with standard business hours 8:00 a.m. to 4:30 p.m. Monday through Friday May involve prolonged periods of sitting and computer use Collaborative team environment with opportunities for growth This position is ideal for candidates seeking a professional environment where they can utilize their clerical expertise while supporting daily office operations.Pay:
