Job Description

Description We are looking for a Service Coordinator to support service operations for a growing fire protection and life safety organization in San Diego, California. This contract position with the potential to become permanent is ideal for someone who excels at scheduling, customer communication, and administrative coordination in a fast-paced service environment. The person in this role will help keep field work organized by aligning technicians, materials, and documentation while ensuring customers receive timely and attentive support.
Responsibilities:
  • Coordinate daily service activity by opening work orders, assigning technicians, and tracking progress from scheduling through completion.
  • Arrange for materials and equipment to be available for upcoming jobs so field teams can perform work without unnecessary delays.
  • Communicate appointment details, schedule updates, and service status clearly to both customers and technicians.
  • Maintain accurate service records, including notes on scheduling efforts, job documentation, and completion details for billing and compliance purposes.
  • Support efficient dispatching by planning routes that reduce travel time and improve productivity across service calls.
  • Address customer concerns promptly, help resolve service issues, and ensure clients are matched with the appropriate level of support.
  • Provide required documentation to customers or local authorities when service work must be recorded or submitted.
  • Review completed jobs for time, materials, and supporting details before forwarding them for invoicing.
  • Adjust recurring service schedules as operational needs change and help keep open work aligned with required service timelines.
  • Assist leadership with administrative service support, including preparing job-related information and occasional quote coordination. Requirements
  • Experience in administrative coordination, service scheduling, or dispatch support within a field service or construction-related environment.
  • Strong ability to manage calendars, coordinate multiple priorities, and keep work moving in a deadline-driven setting.
  • Comfortable handling inbound calls and communicating professionally with customers, technicians, and internal teams.
  • Proficiency in documenting job activity accurately and maintaining organized service records.
  • Ability to work effectively with scheduling systems, service platforms, and standard office software.
  • Solid customer service skills with the ability to resolve issues calmly and efficiently.
  • Understanding of project coordination and the logistical needs involved in supporting field-based service teams.
