Service Administrator Job Posting | RWC Group | Heavy-Duty Commercial Truck & Bus Dealership Keep the Details Moving. Help Keep Our Customers on the Road. RWC Group is looking for an organized, dependable, and customer-focused Service Administrator to support our Service team. In this role, you'll work closely with Service Managers, Service Advisors, Technicians, and customers to help manage work orders, technician time, billing information, service records, and day-to-day administrative needs. At RWC Group , we're one of the largest commercial truck and bus dealership groups in the Western United States, with approximately 900 employees across Arizona, California, Oregon, Washington, and Alaska . Every day, our Service Managers lead the teams that keep customers on the road by delivering safe, high-quality repairs, exceptional customer service experiences, and operational excellence. What You'll Do Open, update, and prepare service work orders for closing. Help monitor open work orders and keep the process moving. Review technician time entries and assist with authorized timecard adjustments. Support accurate billing for customer-pay and warranty work. Help ensure required information and technician comments are complete and accurate. Monitor cash work orders and communicate payment concerns before equipment is released. Assist customers by phone and in person and connect them with the appropriate Service team member. Maintain accurate Service Department files and records. Communicate with Technicians, Service Advisors, managers, and other departments to resolve missing information or discrepancies. Provide administrative support that helps the entire Service team operate efficiently. We're Looking for Someone Who... Have a high school diploma or GED. Have strong organizational and communication skills. Pay attention to details and take pride in accurate work. Enjoy helping customers and coworkers. Can manage multiple priorities while following tasks through to completion. Are comfortable using Microsoft Office and learning new computer systems. Communicate professionally in person, by phone, and electronically. Work well independently and as part of a team. Have an interest in learning commercial truck and service terminology.
