Administrative Assistant Job Summary The Administrative Assistant plays a vital role in supporting the daily operations of the office by managing client communications, handling correspondence, and maintaining organized filing systems. This position requires a detail-oriented professional with strong computer literacy and proficiency in Microsoft Office applications. The ideal candidate will be proactive, capable of multitasking, and committed to providing excellent support within a team environment. Responsibilities include managing phone and client interactions, organizing documents, scheduling appointments, and ensuring efficient document management both physically and electronically. Responsibilities Manage client communication through phone calls and written correspondence to ensure prompt and professional responses. Handle incoming and outgoing phone inquiries, directing calls appropriately and taking detailed messages when necessary. Perform word processing tasks including drafting, editing, and formatting documents using Microsoft Office tools such as Word, Excel, and PowerPoint. Maintain organized physical and electronic filing systems for correspondence, legal documents, pleadings, and other important records. Scan, organize, and file legal documents and pleadings into both physical files and electronic document management systems. Monitor and update scheduling calendars to coordinate meetings, appointments, and deadlines efficiently. Support office operations by performing general administrative duties as needed with a positive attitude and professionalism. Qualifications Proven experience in an office environment or administrative support role. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Excellent communication skills for client interaction via phone and written correspondence. Ability to organize files systematically both physically and electronically. Demonstrated ability to manage multiple tasks simultaneously while maintaining attention to detail. Professional demeanor with a proactive approach to problem-solving. Familiarity with legal or document management systems is a plus but not required.
