Job Description
Description We are looking for an Administrative Assistant to join our team on a contract basis. This position supports daily office coordination, document management, and executive scheduling while helping keep administrative operations running smoothly. The ideal candidate is organized, responsive, and comfortable handling a mix of clerical tasks, communication, and project support in a utilities and infrastructure environment.
Responsibilities:
- Coordinate administrative activities by preparing, sorting, scanning, and maintaining business records in both paper and electronic formats.
- Keep office operations well supplied by monitoring inventory levels and arranging purchases for materials and equipment as needed.
- Provide scheduling assistance by organizing meetings, managing calendars, and assembling agendas or supporting documents in advance.
- Support leadership with executive calendar management, ensuring appointments, priorities, and scheduling changes are handled accurately.
- Contribute to operational workflows by assisting with permit processing and organizing project-related documentation.
- Maintain accurate records for fleet assets, equipment, and external vendors to support day-to-day business needs.
- Serve as a point of administrative support for special assignments and team initiatives requested by management.
- Handle front-office and communication tasks, including data entry and responding to inbound calls with careful attention to accuracy and service. Requirements

- Ability to manage filing systems, records, and data entry tasks with strong attention to detail.
- Proficiency in coordinating calendars, meetings, and general office activities.
- Comfortable handling inbound calls and performing receptionist-style duties with professionalism.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Effective written and verbal communication skills for working with internal teams and external contacts.
- Familiarity with office supply coordination, document preparation, and routine administrative processes.
