Description We are looking for a dependable Administrative Assistant to support daily operations in Sunnyvale, California. This Long-term Contract position will contribute to both support and account-related functions, requiring strong organization, sound judgment, and a service-focused approach. The ideal candidate brings experience handling account documentation and maintenance tasks in a financial services environment while managing multiple priorities with accuracy and professionalism.
Responsibilities:
- Provide administrative support across morning and afternoon assignments, helping maintain smooth workflow between support services and account-related operations.
- Assist with opening new accounts and processing account maintenance activities while following established banking or financial service procedures.
- Review forms, records, and account documentation for completeness and accuracy before submission or follow-up.
- Respond to internal and customer-related inquiries with professionalism, clear communication, and a strong commitment to service.
- Prepare, update, and organize spreadsheets, correspondence, presentations, and routine reports using Microsoft Office applications.
- Track deadlines, manage competing requests, and prioritize daily tasks to ensure timely completion of assigned work.
- Collaborate with team members across departments to support operational goals in a fast-paced environment.
- Identify issues, research appropriate next steps, and help resolve routine administrative and account-related problems efficiently. Requirements
- At least 2 years of recent experience supporting new account setup, account updates, and related administrative processes.
- Minimum of 1 year of experience within a financial institution or similar regulated financial services setting.
- Bachelor's degree in Business Administration, Accounting, Finance, or a comparable combination of education and practical experience.
- Strong verbal and written communication skills with the ability to interact effectively with colleagues and customers.
- Proficiency in Microsoft Excel, Outlook, PowerPoint, Teams, and Word.
- Demonstrated attention to detail, accuracy, and organizational skills when handling multiple priorities and deadlines.
- Ability to work independently with limited supervision while also contributing effectively in a collaborative team environment.
- Strong customer service and problem-solving skills in a high-volume, fast-moving workplace.
