We are looking for a dependable Administrative Assistant to provide organized, day-to-day support for a busy winery in California. This contract position is ideal for someone who can manage competing priorities, keep records accurate, and help leaders stay on schedule in a fast-paced environment. The role calls for strong communication, sound judgment, and confidence using office systems and AI-enabled tools to improve administrative efficiency.
Responsibilities:
  • Manage calendars, arrange appointments, and coordinate meeting logistics to keep daily activities running efficiently
  • Record meeting discussions and produce clear, accurate minutes
  • Track project progress, follow up on outstanding items, and help maintain momentum on key initiatives
  • Use AI platforms such as ChatGPT and Claude to support administrative tasks and streamline routine workflows
  • Scan, organize, and maintain both paper and digital files to ensure records are easy to access and up to date
  • Provide broad administrative support to leadership and team members, including correspondence, reporting, and general office coordination
  • Maintain well-structured documentation systems and handle sensitive information with discretion and care
  • Use Microsoft Office and other business software to complete data entry, reporting, and daily administrative tasks accurately
